Pride of Paddington - Pub Epos Installation Case Study

The BankLocated a stone's throw from Paddington station, The Pride of Paddington is a central London pub that hosts a mix of local real ale drinkers, tourists and NHS staff from St Mary’s hospital. Whilst locals and workers patronise the establishment for a drink after work or a blockbuster Sunday lunch with all the trimmings, fellow travellers and tourists meet, swap stories and give respite to tired legs after a day pounding the city streets. In a large room with stylish wooden chairs, a lively staff serves a wide and traditional menu of well portioned meals. When the weather is right, customers move outside, plunged into the hustling and bustling heart of this major transport and tourist hub.

One year ago, the landlords noticed their old IT equipment was hindering the smooth running of the pub. In particular, the old EPOS till was somewhat long in the tooth and had become obsolete and faulty. It was difficult for staff to use and its archaic design led to daily problems for operation and stock management. Brendon "Bubbles" Hider, Company IT Officer, explains that an essential condition to running the pub successfully was an upgrade of the previous EPOS terminal. "We inherited an old, outdated and complex till when we took over the business. From doing a review of our options, we discovered that a new EPOS system was going to help us in term of being user friendly for our staff and having powerful back office functionality for the management team. A perfect mix."

Brendon remembers why they chose to call upon the assistance of Octepos, a London based EPOS company. At first they were not acquainted with the EPOS provider. However, after having analysed the EPOS solutions market, they were confident that the company could meet their requirements. "We didn't know about Octepos until we got quotes from local companies. The presentation from Octepos was the best and most impressive and won us over," says Brendon.

Within weeks of being enlisted, Octepos’ in house build team delivered an integrated EPOS solution bespoke to the pub. They worked though all of aspects of the installation, from designing and project managing the software build through to training the staff and providing ongoing maintenance and support.

"At the initial meeting to finalise the layout and specific applications of the Touch EPOS system, Gordon from Octepos ran through how all the aspects of the till run and how to access all functionality. On the day of install, a very nice technician called Paul did training sessions with all our staff which were comprehensive and interactive. Paul stayed on site for the first few hours of trade to answer any questions or concerns that came up as we processed the first sales. Then the support covers everything from ordering till rolls and printer ribbons, to complex report additions, to simple changing of buttons and layout" explains the manager.

To date, The Pride of Paddington’s management is definitely pleased with their investment in a hospitality EPOS system. In this respect, Brendon outlines his thoughts, "I am very satisfied with the EPOS system. There were some teething problems after initial installation of the Touch system, but Octepos was great with professional and prompt responses to any concerns or problems. Once all were solved, the EPOS tills have run very smooth. They aren't noticed 99% of the time, as they run fast and make the job of the bar staff much easier. It shows that they are doing their specific job and doing it very well."

Impressed by the ease of use, the manager also enjoys accurate stock control that allows him to keep balanced supply. "We take advantage of the system’s Stock Management functionality to keep an accurate level of all beer lines and major spirits. The module’s simple to use and easy to follow," attests Brendon.

In addition, the EPOS system enables him to update data recorded inside the till, such as the prices of drinks and dishes. As a matter of fact, Brendon did just that with a recent seasonal price change. "It was quite easy and intuitive to manage it. However, it took me a time to modify all prices one by one." One learning to come from discussion is that the Octepos Touch EPOS software enables customers to raise the entire price list at a same rate, based on fixed figures, percentage or desired margin. The support team will now be calling The Pride of Paddington to provide free training and to help perform the task the next time it is required.

Though there a were small number issues, Brendon’ satisfaction remains high thanks to prompt help from the Octepos support team. "The assistance we get from them is fantastic. They’re friendly and patient, and willing to work with us to get the maximum out of our Touch till system. The ability for the Octepos support team to log into the terminals and back office to fix problems live has helped greatly in smoothing over problems and getting to the heart of issues."

At end of conversation, Brendon, considering the EPOS till now, immediately mentions several main benefits, "From my point of view, the Octepos EPOS system offers numerous advantages. It is very user-friendly, quick, efficient, and easy for the staff to pick up. Above all that, they provided us with impeccable technical support each time an issue arose."
