Princess of Wales - Hospitality Epos Installation Case Study

Octepos EPOS system provides London pub with platform for all key business operations

Princess of Wales PubThe Princess of Wales is a friendly local pub situated a short walk between South Wimbledon Tube and Morden Road Tramlink. Amanda and Paul, the landlords of the house for a year now, set out to provide their customers with a perfect service in a warm atmosphere. Supported by their team they do an excellent job of it. As well as a vast range of good pub food, cooked on the premises, the pub boasts a large selection of beers. As a Youngs house, they have some of the best kept real ales in Merton and Wimbledon.

From the beginning, Paul has been relying upon a hospitality EPOS system to help his business run smoothly. His EPOS system not only gives him close control of stock, but also excellent customer service, handy payment facilities, loyalty rewards and other personalised customer services. He enlisted Octepos, an EPOS company whose expert team he has since trusted to build a bespoke hospitality EPOS system suitable for his enterprise.

The in-house team successfully implemented the Octepos hospitality EPOS solution, matching Paul and Amanda’s requirements thanks to its high flexibility and breadth of functionality. Paul invested in many modules which are all used daily and providing significant impact to operation. Paul says, “We run a pretty comprehensive system. We obviously use the Stock Management system, the Customer Account Management, the Customer Loyalty modules. We have also added the Text Messaging module to market upcoming events, new coming real ales or promotions for our loyal customers. We use integrated card payment as well. Everything works fantastically”.

The detailed stock management system ensures Paul has an accurate view of stock control and stock-holding within his business. “Thanks to the business management reports, I can see sales and profit evolution. I know what I’ve got in stock, and it brings up a record of every operation.” The Princess of Wales staff always has accurate account information about every particular trading day and they can reprint old POS receipts or back office invoices if they need to.

Furthermore from this sales information, it is easy for them to deploy targeted promotions varying according to the specific habits of each customer. The Customer Accounts Management module makes setting up and managing accounts far quicker and easier. This makes it possible to add customers mid-transaction without holding up service. Paul explains how this all works together, “We have just started implementing customer loyalty cards. This makes it easy to track every customer transaction and, outside of service, do the analysis to check our impressions are accurate. This new system gives us the ability to set up appropriate customer discounts, special offers and society days. We also use the till’s text messaging to promote new offers and to give exclusive news to our customers”.

Regarding payment facilities, The Princess of Wales uses Octepos’ integrated card payments system. Through this, the customers experience faster, superior customer service. The management team benefits from a far improved reporting functionality, deeper reporting, tighter fraud and error controls, and an automatic end of day (EOD) as well.

Thinking about the complete EPOS solution, Paul concludes, “In terms of my general satisfaction our EPOS system scores pretty high. It is reliable, it doesn’t demand any work of it, and it helps massively in controlling the great majority of the business. For example, handling stock is very easy for staff to use and saves us tonnes of time and headaches. It also keeps the kitchen up to date about what is going on the bar and we don’t need to communicate verbally. Therefore staff can quickly work and a lot more effectively. I guess the main benefit is the efficiency of the system, the money it saves us, but it does go deeper than that. The customer loyalty and promotions side makes us a lot of money too.”
